1. Your privacy is important
Your privacy is important to us. We aim to process your personal data in a legal, correct and transparent way. In this document, our privacy policy, we explain how this processing happens and which personal data are involved. The term processing includes collecting, recording, organising, storing, updating, changing, retrieving, consulting, using, distributing or making available in any way, combining, archiving, deleting or ultimately destroying data.
This document applies to you as a (future) customer of our company, supplier or an individual associated with an organisation that interacts with us.
1.1. Preliminary information
We recommend that you read this document carefully so that you understand why and how we process your personal data. It also explains your rights and how you can exercise them.

Logflow is active in Belgium, with its registered office at Kapellestraat 136/Blok E, 8020 Oostkamp. We are responsible for processing your personal data.

2. Your right to privacy
The execution of your rights in our systems and procedures will be completed within 30 days of receiving your request. If, for any reason, we cannot meet this deadline, we will inform you before the end of the original period.
2.1. Right to access your personal data
You have the right to access the personal data we process about you, the purpose of the processing, where we obtained the data and who receives the data.
You can also learn how long we retain the data, whether it is used for automated decision-making, and whether we intend to transfer the data outside the European Union.
We provide the requested information in writing or electronically.
2.2. Right to rectify or complete data
If the personal data we process are incorrect, you can request that we correct or complete the missing data.
2.3. Right to delete
If you think we are unlawfully processing your personal data, you may request to delete them.
However, Logflow may refuse this request if justified, such as for exercising or substantiating a legal claim or complying with legal obligations to retain certain data.
2.4. Right to restrict processing
You may request that we limit the processing of your personal data if you suspect the data are incorrect, if the processing is unlawful, or if you disagree with our processing based on our legitimate interest (see section 3.3). We will honor this request unless compelling reasons prevent us from doing so, such as fraud prevention or non-payment.
2.5. Right to object
You have the right to object to the processing of your personal data, including profiling. Processing will then cease unless required for compliance with social and tax legislation, protecting the interests of a third party, or establishing, exercising, or defending a legal claim.
2.6 . Right to transfer data
You can request that the personal data you provided be transferred to a third party.
2.7. Right to file a complaint
If you disagree with our position, you can contact the Belgian Data Protection Authority to file a complaint (see section 1.4 for contact details).
2.8. Identification of the applicant
You can exercise your rights by submitting a written request by mail to Kapellestraat 136 - Blok E, 8020 Oostkamp or via e -mail at privacy@logflow.be .
Please be as specific as possible in your request to ensure accurate processing.
To prevent unauthorised access to your rights, we verify your identity. This request must include proof of identity, such as a copy of your ID card (with your photo and ID number blacked out for privacy protection). If the provided document is insufficient, we will inform you and may refuse the request until sufficient proof is provided.
3. Why do we want to process your personal data?
3.1. Logflow must comply with legal obligations
In some cases we are legally required to process your personal data, including:
- Tax law
- Commercial law
- Providing data to authorities or third parties as necessary for legal obligations or public interest tasks
- GDPR compliance when processing rights requests
3.2. Logflow must be able to execute its contract with you
As a customer, you make use of our services. In order to ensure the proper execution of our agreement, we must process and manage these contracts administratively, financially, and operationally.
The same applies if you are our supplier. In that case, we are also required to respect the contract and must process and manage supplier contracts administratively, financially, and operationally.
When you visit our website, an agreement is established in which we commit to providing you with a properly functioning website at all times. To achieve this, we place so-called necessary cookies.
3.3. Logflow has a legitimate interest in processing
As a commercial company, we have several legitimate interests that serve as the basis for processing personal data. In doing so, we ensure a fair balance between your right to privacy and Logflow’s legitimate interests. If you nevertheless object to processing based on this legal ground, you may file an objection.
Logflow wishes to continue communicating with you, as an existing customer or active prospect, via direct marketing. This may be at your specific request, or we may reasonably assume that you have an interest in our services. As our objective is to continuously offer you better service and to communicate this to you, we process your personal data for direct marketing under the legitimate interest of our company to conduct business. This information may reach you in various ways, including via email, postal mail, telephone, and events. We select the most appropriate channel to minimise any inconvenience to you. If you do not wish to receive our commercial communications, you can simply inform us, and we will no longer include you in our communications. You may opt out of all communications or only from specific channels.
Logflow requests visitors to register at the reception desk to maintain an overview of who is present in its building. This registration is necessary to ensure visitor safety.
3.4. Logflow requests your consent
When you subscribe to our newsletter, you implicitly consent to receiving information about our services. Each newsletter always includes an option to unsubscribe.
When you visit our website for the first time, we request your consent via our cookie banner for placing statistical, marketing, and social media cookies. More information about our cookie policy can be found here.
Additionally, when you visit our booth at a trade fair, we will store your personal data in our database with your consent.
You may withdraw your consent at any time. Our contact details can be found in section 2.8.
4. Which personal data do we process and for which purposes?
4.1. Of our business relations
Our business relations include our customers and suppliers.
Logflow processes the personal data of individuals working for companies with whom we conduct business. The purpose of this processing is to provide information about our services and to maintain business relationships.
To contact and identify you, we process the following data for customer and supplier management: name, first name, address, telephone number, mobile number, language, email address, VAT address, cookies, IP address, and the name of your employer.
4.2. Of our prospects
Our potential new customers are those interested in our services, which focus on the optimisation of warehouses and supply chain. Logflow therefore wishes to keep prospects informed about these services. To communicate with them, we process the following personal data: name, first name, telephone and/or mobile number, and email address.
4.3. Personal data via third parties
We may also receive personal data through third parties, for example, by purchasing data from companies. These companies are responsible for ensuring that the relevant personal data are lawfully collected.
4.4. Of our applicants
This section applies to the collection and processing of your personal data when you apply for a position at Logflow.
We only process relevant personal data necessary to assess your application and to communicate with you. This includes your name, personal contact details (e.g., address, telephone number, and email address), date of birth, place of birth, age, and gender, as well as your CV and information regarding your education, professional experience, and other relevant experience. If applicable to the vacancy, we may also process personal data related to personality assessments and/or references.
4.5. Cookies
Logflow uses cookies on its website www.logflow.be. These are small data files stored on the device you use to visit our website, such as a computer, tablet, or smartphone. Where we refer to "cookies" below, we also mean other similar technologies. Cookies enable us to recognise your web browser, which is convenient as it prevents you from having to adjust your settings repeatedly. These small files also help our website function better and provide insight into visitor behavior. Additionally, third parties can observe your browsing behavior to display personalised advertisements.
Cookies do not compromise the security of your computer.
We use necessary, analytical, marketing, and social media cookies. With the exception of necessary cookies, which are required for the proper functioning of our website, we request your consent before placing these small data files. 4.6. Images of surveillance cameras are temporarily stored
We may use surveillance cameras in and around our buildings. When using such cameras, we comply with legal regulations. Buildings under camera surveillance are clearly marked with a visible sticker.
Image recordings are stored for a maximum of 30 days. Exceptions to this retention period apply in the following cases:
- If the recorded footage serves as evidence of a crime or disturbance
- To prove damage
- To identify a perpetrator, witness, or victim
The processing of such footage is based on our legitimate interest in protecting our buildings and other property against incidents such as burglary or damage.
5. About sharing and storing your personal data
5.1. With whom do we share your personal data?
We share your data only with individuals who have been explicitly authorised by us and who need this data to perform their tasks.
For the processing of personal data, we engage various processors. These are subcontractors who process personal data on our behalf. Logflow only works with processors that guarantee the same level of security on both a technical and operational level.
Your data may be transferred to countries outside the European Union. In such cases, we will ensure that the processing of personal data remains adequately protected in accordance with specific contractual obligations and in compliance with privacy legislation requirements.
Additionally, we will only share your data if required to do so by law or government order.
5.2. Logflow does not disclose your personal data to third parties
We will not sell, rent, distribute, or otherwise commercially make your personal data available to third parties unless we have obtained your prior consent.
5.3. We do not retain your data infinitely
Logflow processes your personal data with a clear purpose in mind. Once this purpose has been achieved, the data is deleted.
The primary basis for retaining your personal data is the legally required retention period.
- The personal data of prospects are initially retained for 5 years. If contact occurs between the prospect and Logflow during this period, a new 5-year retention period begins from the date of the last contact.
- The personal data of our customers and suppliers are retained for up to 10 years after the last order.
- The personal data of job applicants who are not hired are retained for up to 4 years after the conclusion of the selection process.
- The personal data of visitors who register upon arrival are retained for a maximum of 60 days after their visit.
